Subscription & Billing

Voila charges per session, not a flat monthly fee. You only pay for the lessons you actually run.

Plans​

Voila offers four recording options. Each determines how your lesson is recorded and what AI tools are generated afterwards.

Local Recorder​

The Chrome extension records audio directly on your computer during a Google Meet, Zoom, or Teams session. The most affordable recorded option. Ideal when audio transcription is sufficient. You manage starting, stopping, and uploading the recording via the extension.

Bot​

A cloud recording bot joins your external video call (Google Meet, Zoom, or Teams) and captures audio and video automatically. No manual steps required — admit the bot from the meeting lobby when it appears. Video is retained for 14 days, after which only the audio and transcript are kept. This is the most reliable way to guarantee a full recording without any action on your part.

In-Platform​

The full Voilà classroom runs inside the platform with built-in video, chat, whiteboard, and screen-sharing tools. Recording is handled natively. Includes an extra participant surcharge for groups larger than two:

  • Extra participant fee: $0.25 per additional participant (beyond the first two) per session.

No Recorder​

Use Voilà for scheduling, lesson management, and student tracking without recording the session. No transcript or AI summary is generated. Only the $1.50 base session fee applies. Useful for tutors who record independently, teach in-person, or have students who prefer not to be recorded.

How Billing Works​

  • Each session is billed as a separate line item on your monthly invoice.
  • Every session incurs the $1.50 base fee, plus a per-minute fee for the full session duration (Local Recorder, Bot, and In-Platform only).
  • Sessions shorter than 5 minutes are not billed.
  • Your monthly invoice lists every session individually with date, duration, recording method, and cost.
  • View current usage and estimated charges at any time in Admin → Usage statistics.

Free Trial​

Every new tutor account starts with a 30-day free trial:

  • Up to 100 free Bot and Local Recorder sessions during the trial.
  • 1 free In-Platform trial session to test the classroom.
  • A valid credit card is required to start; billing only begins after the 30-day trial ends.

After the trial ends or your free session allocation is used, you need an active subscription to continue recording and using AI features such as AI Insights and Gemini chats. Activating Bot, Local Recorder, or In-Platform starts your subscription.

When You Are Charged​

You receive an invoice at the end of each billing cycle (monthly). All sessions from that cycle appear as individual line items. You are charged automatically via your payment method on file. Invoices are sent from hello@voila.fun or billing@voila.fun. Here is a sample invoice:

If a payment fails, your subscription status changes to past due. You can still access your account, but you should update your payment method to host lessons or use any paid feature within Voilà.

Choosing and Changing Plans​

You are not locked into a single recording method:

  • Set a default recording method in Settings → Subscription (Bot, Local Recorder, No Recorder, or In-Platform).
  • Override per lesson when creating or entering a session.
  • Switch freely between methods — for example, use Local Recorder for routine lessons and Bot for sessions where you want automatic video capture.

Reducing Your Costs​

  • Use Local Recorder for routine lessons where audio is sufficient — roughly half the per-minute cost of the Bot.
  • Use No Recorder for sessions where transcription is not needed — pay only the $1.50 base fee.
  • Refer other tutors through the Referral Programme to earn free months.

Subscription vs Stripe Connect​

Your Voilà subscription and Stripe Connect are two separate systems:
