Scheduling

The Scheduling section lets tutors manage their calendar, define availability, set booking policies, and control when students can book lessons.

Setting Your Availability

Define the days and times you are open to bookings in Scheduling → Weekly Availability (also accessible from your Tutor Profile).

  • Availability applies across all students and your Tutor Directory listing.
  • Students can only book during your defined availability hours, even if your connected calendar shows free time outside those hours.

Scheduling Policies

Configure rules that control how students book and cancel:

Cancellation noticeMinimum advance notice required for a student to cancel a booking (e.g. 24 hours).
Minimum booking lead timeHow far in advance a student must book a session (e.g. 2 hours before the slot).
Default lesson lengthThe preset duration of a lesson used when scheduling.

These policies apply to all students and are enforced automatically when students attempt to book or cancel.

Vacation Mode

If you are unavailable for an extended period, enable Vacation Mode from Settings → Integrations:

  • Your profile is hidden from new booking requests. However, students will be able to book lessons outside your vacation window.
  • New students cannot start chats and see a vacation notice.
  • Existing students can still message you and receive an automatic vacation auto-reply.
  • Disable vacation mode when you return to resume normal availability.
  • Tutors can initiate lessons during vacations if the lesson is proposed by the tutor (i.e. you know your availability during your vacation).

Calendar Views

The Scheduling section offers multiple calendar views — day, week, and month — so you can manage your schedule at your preferred level of detail. Lessons, bookings, and blocked time from your connected calendar all appear on the same view.

How Student Availability Is Calculated

When a student views your booking page, available slots are calculated from three sources:

  1. Weekly availability slots — times you marked as available.
  2. Calendar busy times — events from your connected calendar that block time.
  3. Existing bookings — confirmed Voila lessons and pending booking requests.

A slot is available only if it falls within your weekly availability and does not overlap with any calendar event or existing booking.
